We have established policies to ensure that these MS Products are used and managed in a safe, secure, and convenient manner. Given that the features of MS Products are constantly updated and expanded, these policies will be revised and updated accordingly.<br \/>\n*Unless specifically stated otherwise, \u201cAdministrator\u201d refers to the \u201cMicrosoft 365 Administrator\u201d.<\/p>\n<h5>Existing Regulations and Guidelines at the University<\/h5>\n<p>The University of Tsukuba publishes its rules and guidelines on the use of information systems and related resources. When using Microsoft products, please adhere to these rules and guidelines.<br \/>\n<a href=\"https:\/\/oii.tsukuba.ac.jp\/en\/regulation-3\/\" target=\"_blank\" rel=\"noopener\">Regulations, Organization for Information Infrastructure, University of Tsukuba<\/a><\/p>\n<h5>Users at Risk of Microsoft 365 due to Suspected Unauthorized Logins.<\/h5>\n<p>If an administrator suspects that a user\u2019s account has been misused by an unauthorized third party, they will forcibly reset the account\u2019s password.<br \/>\nUsers are advised to consult the relevant information provided by the Academic Center for Computing and Communication for guidance on how to personally reset their passwords.<br \/>\n(As stipulated in Article 49 of <a href=\"https:\/\/oii.tsukuba.ac.jp\/wp-content\/uploads\/sites\/29\/campus-only\/jissiyoukou_20190401.pdf\" target=\"_blank\">[1]<\/a>)<\/p>\n<h5>Public Teams<\/h5>\n<p>There have been instances where teams created using platforms like Teams and SharePoint inadvertently had their privacy status set to public, resulting in the exposure of files containing personal information to all students and staff across the campus. To enhance security, administrators have mandated that only public teams with \u201c-public\u201d appended to their names are permitted. Any public team lacking the \u201c-public\u201d suffix in its name will be promptly switched to private by the Microsoft 365 administrators upon discovery.<br \/>\n<span style=\"color: red; font-weight: bold;\">Please do not insert spaces before or after the hyphen (\u201c-\u201d).<\/span> If spaces are included, it will not match the exclusion pattern and will be changed to private.<br \/>\nNote: Since February 5, 2026, \u201c-group\u201d has been automatically appended to the end of group names.
