About Using of Outlook on EES benefits for students’ @s, @u address email

You feel like you can use Outlook with EES benefits, but it doesn’t work properly. Here’s why you can’t use it and how you can handle it.

  • EES benefits Outlook does not receive emails from the Internet.
  • Also, I can’t send emails to the @u address of the Zengaku Computer System.
  • On the other hand, notifications from Teams, Stream, etc. will go to Outlook for EES benefits.
  • We recommend forwarding emails received in EES benefits Outlook to an address other than @s or setting your email client to read them in IMAP or POP3 and not using Outlook after that.

 

 

 

 

 

 

 


Student Mail System

The email system for the @s address (the orange part of the diagram) is available from the time of admission. There is one more @u email system (the blue part), which is forwarded to @s for students enrolled after 2017. These two are the official email systems that all students can use while they are in school.

Outlook on EES benefits

When you sign up for Office account on EES benefits, you’ll be able to sign in to the Microsoft 365 system in green in the diagram using your official @s address. This system also includes Outlook, an email system, but it is not supposed to be used to read or write email. You can write and send emails in this Outlook, but you can’t receive emails from the Internet.

In addition, all @u addressed emails from within the EES benefit Microsoft 365 will be delivered to this Outlook. It doesn’t reach the original (blue in the diagram) @u address system (nor does it reach the @un address system for staff). Notifications from Teams, Stream and other EES benefits office tools (such as invitations to Teams meetings) will be sent to this Outlook in the form of an email to @u.

Setting up to receive notifications

It doesn’t work properly as an email system, but it does get notifications, so I recommend that you set it up so that you can read emails that come in Outlook for EES benefits, and then don’t use Outlook after that. To set up forwarding, sign in to the EES benefit with your @u address, and then register the forwarding destination in the same way as you did with your @s address.

Relationship between @un address emails and Microsoft 365 notifications

This page is only for staff members who use the @un.tsukuba.ac.jp email address (hereafter referred to as “@un address”) on the Groupware Office System (hereafter referred to as “GWO”).

Do not use Microsoft 365 to read or write email

When you enter the Microsoft 365 site with a browser, you will see an Outlook icon on the left. Only Microsoft365 related notifications such as Teams will be sent to this Outlook. You will not be able to receive email addressed to a general @un address.
Please use the GWO email system to read and write email.

Forwarding of Teams and other notifications

Notification emails such as Teams that arrive in Outlook in Microsoft 365 can be forwarded to other addresses. However, you cannot forward to GWO’s @un address, so please use other addresses if you wish to do so.

[Update] On frequent stoppage of video playback in Microsoft Stream

We have received several reports that Microsoft Stream videos frequently stop playing, sometimes they stop so frequently (every few seconds) that understanding content of classes difficult.

(2020-06-05 update: We have been informed that Microsoft has completed its response to this incident.  If the problem persists, please report it to Microsoft.)

As similar reports have been made at other universities, there is a possibility that the cause is on the Microsoft side.  Currently we do not know the fundamental solution of the problem, but for the time being we ask users take the following actions:

To Faculty Members
  • Please make the slides and materials presented in the video available for students to download (or view in a browser).
  • Please allow enough time for video release and assignment submission deadlines.
To Students

When you’re in trouble with Stream, the situation may possibly be improved by one of methods.

Also, it’s a good idea to try it at some other time.

(Method 1) Reduce the quality of the video.
  • Click “Settings” on the bottom right of the video player

  • Change the quality to a lower value.

(Method 2) Wait until the loaded portion of the video is far enough ahead of the current position before playing.

(Method 3) Watch videos offline from mobile apps.
  • Tap the detail icon at the right end in the movie list

If the situation does not improve, please report the problem to Microsoft.

Network maintenance of Tokyo Campus (2019/9/2)

Password Length for Unified Authentication System Extended to 8-16 Characters

The password length for Unified Authentication System, which manages passwords for some University-hosted computer systems, was 6 to 8 characters long.
Now the length have been extended to 8-16 chars.

You don’t have to change your password.
Even if you are using password of length 6 or 7 characters, you can use it without problems.
(Although you have to choose longer password when you change your password.)

But, since longer passwords mean enhanced security in general, we recommend you to use as long a password as possible.
